Position Mission:           We are seeking an organized, highly skilled and experienced Purchasing Agent to join our team.  The ideal candidate will have a profound understanding of project management and the procurement of products and services to support the project and company’s needs.  This role will be responsible for ensuring that the project schedule can be executed by the shop team, sub-fabricators, sub-finishers and installation teams by providing the necessary products and services to meet the jobsite and customer expectations.  This role requires a strong blend of technical proficiency, creativity, and ability to be a solutions provider.

Compensation:           Hourly, Overtime Non-Exempt, Time and a half overtime pay worked over 40 hours.  Hourly Wage Range:  $22.00 to $30.00

Essential Roles and Responsibilities Overview:

  • Execute and send out Purchase Orders based on the requests and negotiations completed by the Project Managers and Cost Estimators. 
  • Purchase Orders should meet the company standard and note key details such as commitment date for delivery, site for delivery, warranty and other key information. 
  • Maintain project / job workbooks with key information that includes but is not limited to noting the purchase order price and scope of work in a timely manner.
  • Validate the raw material requests made by Project Managers, Estimators, Shop Team Members and Sub-Contractors against the takeoffs for accuracy before placing order.
  • Manage the material receiving process for all materials that are purchased by the company but sent to sub-fabricators sub-finishers, installation contractors and the job site.  Validate that all required paperwork has been received, validated and entered into the inventory management software used by the company.
  • Match material receipts  / receivers with invoices and the Purchase Order before approving payments. 
  • Lead the cycle counting process for Finishing Inventories, Sanding Inventories and Edge Banding Inventories.  Physical inventories will be verified by hand counting and then entering data into the company’s inventory management software.  Review of variances will be completed and corrective action steps taken to improve accuracy. 
  • Work directly with the Facilities & Production Manager, General Manager, Project Managers and the Master Scheduler / Planner to validate that shop employee’s time (in and out punches) are properly allocated and entered into to individual projects.  Produce reports as needed to identify variances / discrepancies and drive corrective action steps taken to improve accuracy.
  • Manage and maintain the current projects on the internal communication boards to help guide weekly meetings.
  • Work with Project Managers and other individuals to validate that the Sample Request Form is properly and timely completed to support the needs of the project.
  • Coordinate sample request deliveries to the requested party.  Validate that all samples received are properly labeled, transmittals are created and sent and samples are properly packages for safe delivery to the requesting party.  Use company’s inventory management systems and other software to properly track samples.
  • Manage office supplies and other repetitive company purchasing needs to eliminate stock outs.  Order required materials based on inventory parameters (min / max).
  • Maintain currently pricing of stock materials to assist the cost estimators effectiveness and efficiency.
  • Maintain a current Vendor List and establish a strategy for improving the options that company has with additional vendor options.
  • Work directly with the cost estimators to receive and review project specification and establish a list of required products and services along with the associated vendors to support the project’s needs.  Produce RFQ responses from vendors to assist the cost estimator’s needs.
  • Assist the warehouse by reviewing open / unreceived Purchase Orders.  Verify inventory levels to establish if / if not items were received and actions needed to close out the purchase order.
  • Manage inventory levels to meet company standards; Stock materials ($80k or less), Raw materials ($450k or less) and Sub-Contractor materials ($25k or less at month’s end).  Lead the corrective action process if standards are not being met.
  • Upon project completion, verify all remaining materials and establish what can be returned, used on another project and what must be scrapped.
  • Coordinate and maintain the shop workload and master schedule while working directly with the Facilities and Production Manager.
  • Attend and actively participate in all New Job Kickoffs, Weekly Project Management Meeting, Engineering and Design Meetings and other specific company meetings that product and service purchasing will impact.
  • Provide all necessary paperwork (shippers, drawings, project instructions, key job site information, etc.) to support efficient and effect delivery of all required materials.
  • Identify potential product materials and service concerns based on timing and workloads.  Develop solutions that allow the project to remain on schedule, budget and the jobsite and customer to remain satisfied.
  • Assist the company as needed regarding reactionary events that are causing concerns with a project.  This can include but is not limited to, ordering materials, completing work orders, installation concerns / adjustments and any other issue that may arise.

  • Coordinate scheduling with shop team members and project managers to meet project deadlines (timing and hours allocated).

  • Drive results, take initiative and be action-oriented by applying time management and self-management skills every day in order to meet deadlines while maintaining a positive attitude.
  • Assist in the training and development of your co-workers.
  • Perform miscellaneous projects and complete various tasks as requested by management.

Requirements/Qualifications Overview:

  • Minimum of two (2) years experience in architectural millwork project management and / or planning / scheduling is preferred, but will train the right candidate
  • Meticulous attention to detail and a commitment to producing results with consistency
  • Ability to interpret design specifications and contribute creatively to the project management and timing process, offering innovative solutions when needed. 
  • Proficiency in using a variety of tools / software to carry out job functions.
  • Ability to read work orders and blueprint drawings to identify the scope of fabrication and finishing work for each project
  • Ability to record and file project samples and finishes
  • Consistently exhibit appropriate attendance habits, working the hours necessary to perform the job
  • Provide necessary, accurate, and timely feedback of all pertinent information to co-workers and management to enhance teamwork and communication initiatives
